At Outdoor Trek India, we strive to offer flexibility and fairness to our customers while ensuring the sustainability of our operations. Please review our cancellation policy carefully before booking your trek or tour.
1. Cancellation by the Customer
- 30+ Days Before Departure:
- 90% refund of the total booking amount (10% retained as a non-refundable administrative fee).
- 15–30 Days Before Departure:
- 50% refund or option to reschedule to another date within 12 months (subject to availability).
- 7–14 Days Before Departure:
- 25% refund or rescheduling with a 15% rescheduling fee.
- Less Than 7 Days Before Departure:
- No refund. Rescheduling may be permitted in exceptional cases (e.g., medical emergencies) with valid documentation and a 25% rescheduling fee.
Note:
- Non-refundable deposits (if applicable) are retained in all cases.
- No refunds for partial participation, late arrivals, or voluntary withdrawal during the trek/tour.
2. Cancellation by Outdoor Trek India
We reserve the right to cancel trips due to:
- Unforeseen Circumstances: Extreme weather, natural disasters, political unrest, or safety concerns.
- Low Participation: Minimum group size not met.
Options for Guests:
- Reschedule to another date.
- Full refund (processed within 14 business days).
- Credit Voucher valid for 18 months.
Note: We are not liable for additional costs (e.g., flights, visas, or accommodations).
3. Force Majeure
For events beyond our control (e.g., pandemics, earthquakes, government restrictions):
- Guests may reschedule (no fee) or receive a credit voucher.
- Cash refunds are not guaranteed but evaluated case-by-case.
4. Refund Process
- Refunds processed within 7–14 business days after approval.
- Bank/transaction fees may be deducted.
5. Other Considerations
- Travel Insurance: Strongly recommended to cover cancellations, medical emergencies, or losses.
- Itinerary Changes: We may alter routes, accommodations, or activities for safety/operational reasons.
- Missed Departures: No refunds for delays; ensure timely arrival.
